Designation : Team Secretary

Job Description : Document Preparation: Will be responsible for drafting basic template documents (like vakalatnama, backsheets etc), formatting, and correspondence. Calendar Management: Shall manage advocate calendars, schedule appointments, court appearances, and deadlines, and coordinate meetings. Client Communication: Law secretaries may interact with clients, answer routine inquiries, and relay messages to team members. Administrative Tasks: Performing general administrative duties such as answering phones, handling mail, photocopying, and scanning and maintaining folders. Billing and Timekeeping: Assisting the team with time entry and generating invoices for clients. Case Management: Managing case files, organizing documents, and maintaining electronic and physical records. Client File Maintenance: Ensuring that client files are up to date and organized, and that all necessary documents are present. Counsel and Vendor Bill Management: Receiving and assisting in clearing of counsel and vendor memos. Technology Proficiency: Being proficient in Microsoft office, legal software and technology, including document management systems, e-filing systems. Communication Skills: Effective written and verbal communication is essential, as law secretaries often correspond with clients, opposing counsel, and court personnel. Flexibility: Being adaptable to the demands of the law firm, including working on multiple projects and assisting various team members. Teamwork: Collaborating with advocates, firm administration, and other support staff to ensure a seamless workflow within the firm.
