Designation : Executive Assistant

Job Description : Act as the point of contact among executives, employees, clients and other external partners. Manage information flow in a timely and accurate manner. Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc. Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.) Make travel and accommodation arrangements. Handle confidential documents ensuring they remain secure. Rack daily expenses and prepare weekly, monthly or quarterly reports. Schedule / Diary and Reminders. Act as an office manager by keeping up with office supply inventory. Maintain electronic and paper records ensuring information is organized and easily accessible Format information for internal and external communication – memos, emails, presentations, reports. Take minutes during meetings. Conduct research and prepare presentations or reports as assigned Receive and screen phone calls and redirect them when appropriate Organize and maintain the office filing system. Follow up and execution reporting on Chairman & MD’s meetings and schedules. Maintaining Contact lists and important functions like Diwali and Birthdays / other occasions. Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders Prepare invoices or financial statements and provide assistance in bookkeeping Liaoning with locals Govt Departments (Via Chairman's/ MD’s resources). Personal expense and payments tracker. Tracking Progressing on tasks and task management. Effective communication both internal and external. Reading and evaluating and summarizing reports.   Requirements & Skills · Proven experience as executive secretary, preferably in a family oriented Business Organization with the minimum 50 employee strength. · Proficient in MS Office and “back-office” software (e.g. ERP), Advance Excel. · In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry. · Familiarity with basic research methods and reporting techniques · Excellent organizational and time-management skills · Outstanding communication and negotiation abilities, highly proficient in English letter drafting. · Integrity and confidentiality · Degree in business administration or relative field.
